Site Policy
​
• Dogs must be kept on leads and supervised at all times. Fouling must be cleaned up immediately.
• Please be respectful of the farmers fields if walking your dog. Dogs are not permitted on their fields, footpaths only. Please read the countryside code if you wish to find out more information about this. Respect, Protect, Enjoy - the Countryside Code (countrysideonline.co.uk)
• Noise to be kept to a minimum from 10pm and totally silent by 10.30pm.
• Cleaning cars and caravans is not permitted
• Charging of electric cars is not permitted on site. We are looking into getting specific charging points for
electric vehicles but currently this is not an option.
• No Kites, due to overhead wires
• No drones, due to overhead wires.
• No Chinese Lanterns, due to over head wires and fire risk.
• No Disposable BBQs.
• No open fires / firepits.
• No single sex groups over 4
• No stag or hen parties.
• Guests are permitted to bring one car per booking any additional vehicle will be charged separately as per our rates.
• Guests are only permitted two dogs per pitch.

• Guests must check-in between 12pm and 9pm, check ins will not be allowed outside these times.
• The use of generators is not permitted on site.
• All rubbish and waste must be disposed of in the indicated areas.
• Children in your party must be properly supervised at all times. Children should not be allowed to run
between other peoples caravans and disturb other sleeping guests.
• This is not a suitable campsite for partying! It is a quiet, peaceful countryside location. We do not allow any amplified music from car radios, builder’s radios, speakers or musical instruments. After 10pm please be aware that others may be trying to sleep and to keep noise to a minimum and by 10.30pm the site needs to be totally quiet.

Terms and Conditions

• We reserve the right to change these terms at any time. Any such changes will take effect immediately when posted on the website or otherwise brought to your attention.
• These are the terms and conditions on which We supply Services to you.
• Please ensure that you read these Terms carefully, and check that the details on the Booking are complete and accurate before you sign and/or submit the Booking.
• By submitting a Booking you are agreeing to these Terms and you agree to adhere to the Site Policy.
• These terms will become binding on you and us when we provide you with booking confirmation for the booking which will be in writing, via email, at which point a contract will come into existence between you and us.
• Guests are responsible for their own property and the behaviour of their party at all times.
• In the event of a complaint please call the phone number provided to you, message that number or send an e-mail to hensteadfields@outlook.com immediately.
• Henstead Fields Caravan and Campsite accept no responsibility for damage, loss or theft of items belonging to guests during their stay at Henstead Fields Caravan and Campsite.
• As our site is in a rural location, we do not accept responsibility for any damage, injury or inconvenience caused by weather, plants, trees, insects, animals or wildlife.
• Visitors are welcome on site, but we ask that there are no more than 2 adult visitors (and any accompanying children) per pitch. Visitors are bound by our terms and conditions and must adhere to our Site Policy.
• A security deposit of £100 per pitch for groups of three pitches or more may be requested. Refusal to pay the deposit may result in your booking being cancelled and money refunded less the non-refundable deposit. A refund in full will be processed, in full, at the end of your stay unless in the Site Warden’s opinion you have displayed unreasonable behaviour (this includes but is not limited to excessive noise, wilful damage to the Site of other people’s property and abuse of our staff).
• Bookings are non-transferable to another party.
• All guests must check-in between 12pm and 9pm. If we are not notified of a late arrival, your pitch will be held until 12pm the day after your arrival, after which time your pitch will be put up for re-sale and your booking treated as a cancellation with your monies retained by Henstead Fields Caravan and Campsite.
• All guests will use the board at the site entrance to find their pitch number, this will also have been e-mailed to them prior to their arrival.
• By making a booking, you are agreeing to our terms and conditions and agree that at least one member of your booking is aged 21 or over and takes full responsibility for any damage or loss caused by any member of your party.
• Your booking must be paid for in full 14 days (two weeks) before arrival.
• Amendments to bookings can be made up to 14 days prior to your arrival. After this time no changes can be made (for example reducing people and removing extras) and will count as a cancellation so fall into our cancellation terms.
• We cannot accept any cancellations within 14 days of arrival for any reason.
• It is your responsibility to check for e-mails from ‘us’ and if you change any of your contact details you must let us know immediately so that we can update your customer account. Failure to do so could result in you missing important information about your holiday, receiving payment reminders/and confirmations. If you don’t provide us with your new contact details, we will not be responsible or issue any refund for any expense incurred by you as a result. Please check your spam/junk folders too.

• All cancellations must be confirmed by e-mail and sent to hensteadfields@outlook.com quoting your name, our booking reference and reason for cancellation. Depending on the date we receive your cancellation e-mail, the following charges will apply.
o Up to 14 days before arrival, a full refund not including the £20 non-refundable deposit.
o 14-0 days before arrival, no refund.

• Cancellations by you due to inclement weather, transportation failure, non-arrival of party members, illness, late arrival or early departure are not eligible for any refunds. We will not issue and refunds for unused camping nights.
• If we have to cancel your holiday due to circumstances within our control, we will endeavour to offer you the option of an alternative pitch failing that a full refund minus the £20 non-refundable deposit. ‘Force Majeure’ including Adverse Weather Conditions are not within our control and not eligible for refunds.
• In exceptional circumstances including ‘Force Majeure’ it may be necessary and at the discretion of our staff to cancel part or all of your holiday on safety grounds, in these circumstances, no refunds are issued for any reason. We recommend that you take out holiday insurance, as we do not provide refunds for unforeseen events and ‘Force Majeure’ which includes Adverse Weather Conditions.
• Henstead Fields Caravan and Campsite does not accept responsibility for anything that adversely affects your holiday that is outside of our control. These circumstances are known as ‘Force Majeure’ events and are circumstances that we could not, even with due care, have foreseen or avoided. Such circumstances include (but are not limited to) war, civil unrest, industrial action, terrorist activity, natural disasters, fire, adverse weather conditions, pandemic, flooding and foot and mouth. We will endeavour to manage any problems caused by a Force Majeure event but shall be under no obligation to do so and shall not be liable to you for any losses or additional expenses caused by a Force Majeure event.
• If we have reports of inappropriate behaviour, use of bad language, excessive alcohol consumption or recreational drug use, this will result in immediate termination of your holiday without any refund. We reserve the right to cancel or terminate your holiday without consultation, compensation and with immediate effect if you or any member of your party act inappropriately towards other guests, staff, any property belonging to the campsite or any of its guests.
